Global Shipping & Delivery Policy

Transparent, buyer-first global shipping policy for surgical and medical instruments delivered to hospitals, distributors, and healthcare procurement teams in 50+ countries.

Overview

Danube Elma Enterprises dispatches surgical instruments, orthopedic tools, electrosurgical devices, and related medical equipment from our production facility in Sialkot, Punjab, Pakistan which is the world’s premier hub for precision surgical instrument manufacturing. Every shipment departs after full quality inspection and is packaged to meet the rigorous transit demands of medical grade equipment.

Our global shipping policy details the shipping methods we offer, estimated transit periods, our packaging standards, the export documentation included with every order, available Incoterms, and the procedures for reporting transit damage. Available Shipping Methods

We select or recommend the most appropriate logistics mode based on your order volume, destination country, and required delivery window.

Air Freight

The standard dispatch mode for most international orders. Goods depart via Sialkot International Airport (SKT) or Allama Iqbal International Airport, Lahore (LHE). Best suited for consignments up to 500 kg with balancing transit speed with freight cost.

Sea Freight (FCL / LCL)

Recommended for high-volume orders exceeding 500 kg where cost efficiency is the priority. Vessels depart from Port of Karachi or Port Qasim. Both Full Container Load (FCL) and Less than Container Load (LCL) arrangements are available.

Express Courier (DHL / FedEx / UPS)

Ideal for sample shipments, urgent replenishments, or small parcels. Door-to-door delivery with real-time tracking, customs pre-clearance support, and delivery confirmation. Typically the fastest option for most destinations.

Buyer-Nominated Forwarder (EXW)

Buyers with existing logistics partnerships may nominate their own freight forwarder to collect goods under Ex Works (EXW) terms directly from our Sialkot facility. All export formalities can be handled by the buyer’s agent.

Transit times below are measured from the date of dispatch (after production completion and quality clearance). They do not include production lead time, which typically ranges from 15 to 45 business days depending on order type and volume.

Important: These figures represent transit time only and exclude production lead time. Customs clearance duration which varies by destination country is also not included. Danube Elma Enterprises is not liable for delays caused by carrier disruption, port congestion, or regulatory holds at the destination.

Medical-Grade Packaging Standards

Surgical instruments require a higher standard of transit protection than general cargo. Our multi-layer packaging protocol is designed to preserve sterility, prevent surface damage, and withstand the mechanical stresses of long-haul freight.

  • Individual Instrument Wrapping: Every instrument is individually enclosed in anti-corrosion VCI (Vapor Corrosion Inhibitor) paper or medical-grade polypropylene sleeves, guarding against moisture ingress and surface oxidation.
  • Inner Cushioning Layer: Wrapped instruments are secured in polystyrene insert trays, foam-lined partitioned boxes, or thermoformed custom molded inserts. Each cavity prevents instrument movement and contact between items.
  • Export-Grade Outer Cartons: 5-ply or 7-ply double-wall corrugated fiberboard cartons with reinforced corner protectors, sealed with industrial-strength packing tape. Carton grade is selected by shipment weight.
  • Carton Labeling: Each outer carton carries full product identification (description, batch number, quantity), gross and net weights, handling instructions (“Fragile,” “This Side Up”), and destination consignee details.
  • Palletization for Bulk Orders: Large consignments are strapped and stretch-wrapped onto ISPM 15 heat-treated wooden pallets, meeting international phytosanitary requirements for pest-free timber packaging in all destination countries.
  • OEM / Private Label Packaging: For branded or white-label orders, we supply custom retail packaging including branded instrument rolls, sterilization pouches, kit trays, and printed box inserts as per your supplied artwork and specifications.

Import Duties & Taxes

Unless agreed, Incoterm is FOB, so all import duties, applicable VAT or GST, customs handling fees, and port charges levied at the destination are the Buyer’s responsibility. Surgical instruments are typically classified under HS Code 9018. We recommend engaging a licensed customs broker in your country for accurate duty rate assessment prior to placing an order.

For DHL, FedEx, and UPS courier shipments, the carrier will typically manage customs pre-clearance on your behalf at destination. Import duties and taxes, however, remain the Buyer’s obligation regardless of the shipping mode selected.

Buyer Customs Responsibility

Under all Incoterms except DDP, the Buyer is responsible for import customs clearance at the destination port or airport. Danube Elma Enterprises provides complete, accurately declared commercial invoices and packing lists to facilitate smooth clearance. We are available to provide additional supporting documentation upon request including technical product datasheets, material certificates, and regulatory compliance letters.

Incoterms 2020

We transact under Incoterms® 2020 as defined by the International Chamber of Commerce. The applicable Incoterm is confirmed in your Proforma Invoice. The following terms are available:

Default Term

FOB
Free On Board — Karachi / Lahore / Sialkot

We deliver the consignment to the nominated carrier at the Pakistani port of export and handle all export customs formalities. Risk transfers to the Buyer at the moment goods cross the ship’s rail.

Buyer covers: International freight charges, marine/cargo insurance, import duties, destination customs clearance, and inland delivery from the arrival port.
CIF
Cost, Insurance & Freight

We arrange and pay for freight to the named destination port and provide minimum cargo insurance under Institute Cargo Clauses (C). Risk passes at the port of origin, not destination.

Buyer covers: Import duties, destination customs clearance, inland transport from arrival port, and any top-up insurance above minimum coverage.
DDP
Delivered Duty Paid

Danube Elma Enterprises assumes full cost and risk responsibility until goods are delivered to the Buyer’s named address, including all import duties and destination taxes. The most hands-off option for the Buyer.

Buyer covers: Unloading at the named delivery location only. All other costs and risks are borne by us.
EXW
Ex Works  Daska, Sialkot Facility

Goods are prepared and made available for collection at our Daska, District Sialkot manufacturing premises. The Buyer (or their appointed forwarder) assumes all responsibility from the point of pickup, including export clearance.

Buyer covers: All costs and risks from the point of collection at our facility, including export permits and freight.

Shipment Tracking & Cargo Insurance

Tracking Notifications

Once your order is dispatched, we provide full shipping documentation including the Air Waybill (AWB) number, Bill of Lading reference, or courier tracking number, along with the estimated arrival date. Courier shipments via DHL, FedEx, or UPS can be tracked in real time via the carrier’s platform. For air and sea freight consignments, we supply carrier portal access or progress updates upon request.

Cargo Insurance Guidance

Under FOB terms, cargo insurance is the Buyer’s responsibility from the point of origin. We strongly advise all buyers to secure marine/cargo insurance for the full commercial invoice value plus a minimum 10% uplift, to account for replacement costs in the event of total loss or significant damage during transit.

Under CIF terms, we provide minimum coverage per Institute Cargo Clauses (C). Buyers requiring broader “All Risks” coverage under Institute Cargo Clauses (A) should notify us at the time of order confirmation; additional insurance premiums will apply and will be itemized on the Proforma Invoice.

Transit Damage Reporting

Danube Elma Enterprises ships all orders in export-grade packaging following strict pre-dispatch quality inspection. In the event that goods arrive in damaged condition, the following procedure must be followed to preserve your claim eligibility:

  • Inspect at the point of delivery. Examine all outer cartons before signing the carrier’s delivery receipt. Any visible transit damage to outer packaging including crushing, tearing, or moisture staining must be noted on the carrier’s proof-of-delivery document at the time of receipt.
  • Document the damage comprehensively. Photograph all damaged cartons and affected instruments before disturbing the packaging. Images should clearly show the outer packaging condition, inner packing state, and the specific instruments involved.
  • Notify Danube Elma Enterprises within 7 business days. Submit a written damage report to our export team by email, attaching your photographic evidence, the order reference number, and the carrier delivery receipt notation. Claims submitted after this window may not be eligible for review.
Important: Failure to note carrier damage on the delivery receipt at the time of receipt significantly limits the prospects for a successful cargo insurance claim. Do not sign a “clear delivery receipt” if external packaging shows signs of damage.
